Task Admin: User View - School Group Managers
Task Admin can be viewed by User or by Task. This guide focusses on the User View.
The Task Admin area provides School Group Managers with clear visibility of staff task progress. It enables monitoring of completion, overdue items, and overall engagement with assigned tasks.
➡️ Personal tasks created and assigned by a user to themselves are not included in Task Admin.
➡️ The figures only reflect tasks assigned by a School Manager or School Group Manager.
➡️ Task Admin can be viewed by User or by Task. This guide focuses on the User View.
Navigating to Task Admin:

Click into 'Admin' to the left of your profile icon
- Ensure 'Group Admin' is displayed in the drop down in the left hand navigation:

- Locate 'Task Admin' from under the 'Manage Users' heading in the left hand navigation
- The page will land on the user view by default, but you can toggle between user and task view by using the switch in the top right hand corner:

User View

The user view focuses on user progress across assigned tasks.

It displays a list of all users within the trust alongside the status of the total number of tasks assigned to them.

Before adjusting the filters, all users in the trust are shown in the table, even if they have no tasks currently assigned to them.

| 1. Toggle between user view and task view. |
| 2. Search and filter tasks by school, task creator, user group or task type. |
| 3. Sort and order arrows. |
| 4. List of users. |
| 5. Total number of tasks assigned to user. |
| 6. Number of assigned tasks that are overdue. |
| 7. Number of assigned tasks with upcoming deadlines. |
| 8. Number of tasks completed. |
| 9. Percentage of completed tasks out of all assigned tasks. |
Adjusting the filters
You can narrow the parameters by adjusting the filters:
| Search: | Search for users by name. |
| Task Types: | Filter tasks by selected task types (multi-select supported). |
| Schools: | Filter users by a specific school. |
| Creators: | Filter tasks by their creator. |
| User Groups: | Filter users by trust-wide and school-level User Groups. |

The results in the user list will reflect any filters applied.

For example, if the content filter is applied:

Only users who have an overdue, upcoming or completed content task will appear in the report.

The numbers displayed will reflect only content tasks.

Exporting the Report

You can export the report as a CSV file.

The export will reflect the current, filtered view

Click on the 'Export' button

Once the export is complete it will be emailed to you
Viewing an Individual User Page
The Individual User Page allows School Manager to see a read-only view of a specific staff member’s task list.
Only assigned tasks will be visible. You will not be able to view any private tasks created by the individual themselves.

Click on a users name

By default you will see upcoming and overdue tasks. Use the dropdown to show completed tasks or to filter by completion status.

The 'Export report' button will email you a copy of the Individual User Page reflecting the current filtered view.
Assigning a New Task
The 'Assign New Task' button
allows you to assign learning, compliance, content or custom tasks depending on your subscription.
