Transfer of a generic email address in GM 

If a user leaves who was using a generic email (head@school.com for example) this can cause a problem for the new user in that position if they want to take over the email. 

When a generic email address (for example, generic@school.com) needs to be reassigned to a new user, there are two options.

Option 1 — Change to a Personal/Alternative Email Address

Use this option when the existing user has a valid personal or alternative email address that can be used temporarily.

  1. Change the existing user's email address in GM
    • Change generic@school.com to the user's personal or other valid email address.
  2. Verify the email address
    • The user will receive a verification email at their new personal/alternative address.
    • The user must complete the verification.
    • This step is important because it releases generic@school.com, making it available for reuse.
  3. Create or update the new user
    • Create a new user in GM using generic@school.com
    • If the new user already has a GM account, change the email address on that account to generic@school.com.
  4. Deactivate the previous account
    • Set the previous owner's account with a personal email to Inactive or None in GM.
    • Inactive is generally preferable, as this retains the account/records and allows historical information such as attendance records to be corrected if required.

Option 2 — Use a + Alias to Release the Address

Use this option when a personal or alternative email address is not available.

Important: The + character is essential for this method.

  1. Change the existing user's email address in GM
    • Change generic@school.com to a + address, for example:
      • generic+01@school.com
      • generic+retiredhead01@school.com
    • The part before the + must remain exactly the same as the original address.
    • The text after the + can be changed as required.
  2. Verify the change
    • A verification email will be sent to the original generic@school.com address.
    • Open the verification email and complete the verification.
    • This confirms the change to generic+01@school.com (or the chosen + address) and releases generic@school.com for reuse.
  3. Create or update the new user
    • Create a new user in GM using generic@school.com
    • If the new user already has a GM account, change the email address on that account to generic@school.com.
  4. Deactivate the previous account
    • Set the previous owner's email with the alias to Inactive or None in GM.
    • Inactive is generally preferable, as this retains the account/records and allows historical information such as attendance records to be corrected if required.

 

ℹ️ The original generic@school.com address cannot be reused until the email change has been verified. Always complete the verification step before attempting to create or assign the new account.
