User Profile - Clerk

The Governance Manager User Profile for a Clerk needs a number of 'actions' to be enabled to allow them to fulfil their role. Most of these options are not needed for 'normal' governor profiles.

Here are the recommended settings for the GVO User Profile for a clerk:

In the 'Permissions' section of the user profile the following should be selected:

Pages
Files
Documents for Approval
Tasks
Calendar Events
Discussion Topics
Policies
Folders

The above settings mean that clerks can create all types of content in Governance Manager. Allowing 'links' to be created is not recommended - These are very basic and a much better option is to use a 'page' where additional text and links can be added.

In the 'Special Actions' Section the following settings are recommended, note the description of each:

'Move and individual page' , 'Move multiple pages' & 'Delete multiple pages'-
Move content around Governance Manager (useful if it has been added to the wrong location)

'Subscribe other users to comment and page edit alerts' & 'Subscribe other user to approval and task completion alerts' -
Manage Subscription (notifications) for comments and approvals - This means that the clerk can add content to Governance Manager and then subscribe other users to get notifications about comments/approvals (e.g. the headteacher is the person who needs to see comments on a headteacher report.

'Mark Task completion for other users' -
Manage task completion for other users - in some cases it easier for a clerk to mark that a task has been completed by several people rather than insisting that each person marks their own completion.

'Edit folder details (NB will also need Editor access)' -
It is also important that the clerk's basic access level is as an 'Editor' (to allow them to work with material added by others) and any folder level access also needs to be at Editor level.

'Manage meeting attendance' -
Manage meeting attendance recording for board members.

'Edit board members (NB only applies to boards of which this user is also a member)'
'Edit Register of Interests for other users (NB only applies to boards of which this user is also a member) For this to take effect the "Edit board members" checkbox must also be ticked
& 'Link Policies, Meetings and Tasks to any board'-
Manage the board membership and board records for their board.

'Manage training course completion (NB only applies to boards of which this user is also a member)' -
Manage training course attendance and compliance recording for other users (normally they can do this themselves)
